Receptionist & Administrator
The role is to provide administration support across the business, along with processing paperwork for the Finance Team and provide a receptionist service in order to support the daily operations of the manufacturing facility, working to company process standards and operating procedures.
MAIN DUTIES
- Meet and greet visitors and ensure all visitors sign in and out
- Answer calls, transfer calls and take messages
- Manage the company Voicemail
- Respond to general enquiries over the telephone and via email
- Liaise with ACCENT Networks on the telephone and access network
- Open and distribute post
- Diary management for meeting rooms Outlook calendar
- Ensure meeting rooms are kept tidy at all times and refreshments stocked
- Provide refreshments and order catering for meetings
- Oversee and maintain the First Aid Room
- Scan delivery notes on a daily basis
- Process Parcel Force packages, inbound and outbound
- General administrative duties, archiving, scanning, laminating, photocopying, etc
- Manage external workwear cleaning services
- Manage company uniform stock, inventory and allocation
- Provide cover for team members
- Ownership of recording holidays and absence and update Planner and HR holiday sheets
- Carry out monthly meter readings and log
- Tracking MOT’s, service, repair and cleaning of company vehicles
- Assist with planning company meetings and events
- Scan and issue POD’s
- Set up customer accounts on SAGE
- Post miscellaneous invoices on SAGE
- Input Company Credit Card payments on SAGE
- Ad hoc SAGE analysis and reporting
- Update job costings analysis spreadsheet
- Provide absence cover to receive invoices from suppliers, match to purchase order and process on SAGE
- Provide absence cover to process sales invoices on SAGE
- Any other reasonable management request.
Successful Candidate Skills & Experiences:
- 1 Year data entry experience essential
- 2 Years Administration experience essential
- PC Literate – Familiar with MS packages essential
- SAGE and Network systems experience desirable
- Self-motivated and focused, with a flexible attitude
- Good attention to detail, with high levels of accuracy & a commitment to quality
- Able to work on & use own initiative & problem solve
- Strong communication, team working & people skills
- Demonstrate a professional & courteous attitude
- Act with integrity & honesty
- Positive attitude to innovation & change
